2-Email sync allows integration between Onpipeline and your email account, ensuring that messages sent or received in any client are automatically reflected in Onpipeline. This functionality helps maintain consistency across your platforms, allowing you to manage emails and deals more effectively.
2-Way Sync
2-Way Sync explained in two simple points:
- Incoming Emails: Emails in the synced folder will automatically appear in Onpipeline.
- Sent Emails: Emails sent from Onpipeline will be visible on your email server and other email clients. Emails sent from other clients will sync to Onpipeline.
A few SMTP servers do not automatically save sent messages to the Sent Mail folder of your IMAP. To address this, Onpipeline, like other email clients, creates a top-level folder called “Sent” in your IMAP and saves a copy of the messages sent from Onpipeline there. If you find a “Sent” folder on your IMAP, please do not delete it.
Links to contacts and deals
If the deal is not open (and linked to a person) or if the customer’s email is not already registered in the CRM when the email is received and synced with Onpipeline, the message will not be associated with any contacts or deals.
If you create a contact or a deal after the email has been received, the previously received message will not automatically link to it – You can always link a message to deals and contacts through the email client. This approach ensures that contacts aren’t automatically created for every received email and, more importantly, that private messages remain hidden from the CRM. This applies to both personal and team emails.
Propagation
It’s important to note that the sync downloads messages progressively and aims to preserve content integrity in the CRM. Therefore, deleting messages from an email client other than Onpipeline does not remove the message from Onpipeline. Similarly, moving a message — if it has already been synced — from an external client does not move it in Onpipeline. However, changes made directly within the Onpipeline client behave differently. With the only limitation being how your server is configured (which might have security restrictions), deleting or moving a message from the Onpipeline folder also deletes or moves it on your server.
Deleting the synced email account on Onpipeline or removing the user who was using it does not delete the messages on your server; this action only affects Onpipeline, which still retains messages linked to a deal.
