With onpipeline starting from the standard plan you can automatically send appointment reminders to the contact linked to the event.
The set up is reserved for the administrator role.
It is possible to set an email or SMS message for each type of event (phone calls and meetings), but also for the types of events added by you later. You can send only one email and one SMS before the appointment.
Email: Email messages are normally sent directly from the email (smtp) of the user who owns the calendar, but if the user doesn’t have or doesn’t want to configure his email, the reminders will be sent to his name from our system.
SMS: Text messages require an account with a supported SMS provider such as Twilio, Justcall or Cloudtalk. The cost of sending messages will be paid directly to the provider of your choice. It is important to check your credit regularly because your messages may not reach the recipient, not because of us but because your account with them has been suspended.
Messages can be customized with shortcuts so that each message will be personalized to the max.
The email will be something like the following (you will surely be able to give a touch of originality to your message).
Both time zone and time format will be based on your account settings.
The shortcuts you can add to your message:
- %%fname%% – First name of you contact
- %%lname%% – Last name of you contact
- %%eventwithname%% – Full name of the person they are meeting with (calendar owner)
- %%eventwithemail%% – Email of the person they are meeting with
- %%nexteventdate%% – Day of the event
- %%nexteventhour%% – Hour of the event
- %%description%% – The description you entered in the event
The time zone is not included in this reminder, so if you work with clients from different zones, it would be better to add it after the time shortcut (i.e. %%nexteventhour%% PDT).
Hours before: Please know the time before the appointment is quite accurate but also depends on external systems. Consider a tolerance of about half an hour. For example, if you set a message to be sent 24 hours before, it can be received between 24:00 and 23:30 hours before.
