AI can assist you with many of the most common sales and CRM activities directly from a natural-language conversation.
The sections below describe the main capabilities currently available in onAI. Depending on your request, onAI can retrieve and analyze CRM information, prepare changes, create supported records, manage sales activities, and coordinate actions across different Onpipeline areas.
You can currently use onAI to:
- Search and review CRM information — find contacts, organizations, deals, activities, quotes, and related information available to you.
- Analyze sales data and forecasts — explore your pipeline, forecast, won and lost opportunities, inactive deals, and stage-duration trends.
- Create and update supported CRM records — create supported records and prepare changes to existing contacts, deals, and other supported data.
- Manage calendar activities and events — find, create, and update meetings, tasks, calls, deadlines, emails, and custom CRM activities.
- Create and revise quotes — prepare new quotes and manage supported quote revisions.
- Manage electronic signature workflows — send supported quotes for signature and resend existing signature requests.
- Prepare email actions — prepare the Onpipeline email composer using CRM and workflow information.
- Combine related actions into a workflow — when several supported actions belong to the same objective, onAI can coordinate them as part of the same request.
Instead of navigating through multiple screens, filters, reports, and forms, you can describe what you need in natural language.
Some requests are purely informational and can be answered directly. When a request changes CRM data, onAI prepares the operation and presents a proposal for review before the changes are applied. Some client-side actions, such as preparing an email, work differently: onAI can open the Onpipeline composer with the relevant information, but it does not send the email automatically.
CRM analytics and sales forecast
One of the most useful ways to use onAI is to ask questions about the current state of your sales pipeline and expected business. Instead of building reports or manually combining filters, you can ask questions directly in natural language.
For example:
- What is our sales forecast for this month?
- How much open pipeline do we currently have?
- Which deals are contributing to the current forecast?
- How many opportunities have been won or lost?
- Which deals have been inactive for more than 30 days?
- How long do deals usually remain in this stage?
- How much time do opportunities spend in each pipeline stage?
onAI uses the information available in Onpipeline to analyze and summarize your CRM data, allowing you to move from a high-level view of the pipeline to more specific questions within the same conversation.
Create and update CRM data
When supported, onAI can prepare the creation or modification of CRM records.
For example:
- Create a new contact for Marco Rossi.
- Change the value of this deal to €15,000.
- Update the information for this company.
Before applying changes, onAI can show you a proposal containing the information that will be created or modified. You can then choose Confirm to execute the operation or Cancel to stop it. This gives you an opportunity to review the proposed changes before they are applied to the CRM.
Calendar activities and events
onAI can help you manage the activities that make up your day-to-day sales work directly from the conversation.
You can ask about upcoming or past activities, find events related to a customer or deal, check availability, create new activities, or update existing ones without navigating through the calendar manually.
For example:
- What do I have scheduled today?
- Show me my meetings for next week.
- What activities are scheduled for ABC Consulting?
- Do I have anything planned with Carlo Lopez?
- Show me the upcoming activities for this deal.
- What tasks are still pending?
- Show me the activities completed this week.
- Am I available tomorrow at 3 PM?
onAI can work with different types of CRM activities, including meetings, tasks, calls, emails, deadlines, and the custom event types configured in your Onpipeline account.
Creating an event
You can create an activity using natural language.
For example:
Schedule a meeting with Carlo tomorrow at 3 PM for 30 minutes.
or:
Create a follow-up task for ABC Consulting next Friday.
Before creating the event, onAI makes sure that the information required for the activity is clear.
Quotes
onAI can manage quote workflows directly from the conversation.
For example:
Create a quote for Carlo for 10 licenses of Product X.
onAI can collect the required information and prepare the quote.
If essential information is missing, it may ask you to provide it before continuing.
Depending on the quote, this may include the team, VAT/sales tax, products, quantities, prices, or other required information. For a new quote, if VAT has not been specified and needs to be determined, onAI may explicitly ask whether VAT should apply. If no VAT applies, the rate can be set to 0%.
Quote revisions
If a quote already exists for the same deal, onAI can create a new revision when the requested workflow requires it.
For example:
Update Carlo’s quote and change the quantity to 20.
A new revision can inherit information from the previous quote unless you explicitly request changes.
Electronic signatures
You can ask onAI to send a quote for electronic signature.
For example:
Send this quote to Carlo for signature.
Before sending it, onAI displays a confirmation proposal.
Depending on the workflow, you can review or edit information such as the recipient, email title, message, and language.
The Title is also used as the subject of the signature email.
The currently supported signature languages are:
- English
- Spanish
- Portuguese
- French
- Italian
Resend a signature request
If a signature request already exists for a quote revision, there is no need to create another signature envelope.
You can ask:
Resend Carlo’s quote for signature.
A resend reuses the same signature envelope and signing link. It does not create a new quote revision or a second signature envelope. Before resending, you can still review the relevant email information, including the title, message, and language.
When supported by the workflow, onAI can prepare the Onpipeline email composer using CRM information.
For example:
Create the quote and prepare the email for Carlo.
Preparing an email does not mean sending it automatically. The composer will be opened so that you can review the message and continue using the normal Onpipeline email workflow. When an email address belongs to the selected CRM contact, onAI treats that CRM address as authoritative. It does not try to decide whether the address “looks like” it belongs to that person based on the name or the email’s local part.
onAI allows a maximum of 10 CRM write actions in a single proposal and confirmation. This is an intentional fail-closed safety measure designed to prevent large or unintended bulk changes. Requests affecting more than 10 records are not automatically split or continued in batches. Any remaining changes require a new explicit user request and a separate confirmation. Read operations do not count toward this limit.
